As such, it\u00a0is primarily aimed at Cardiff University Staff and so contains links to internal\u00a0guidance and procedures.\u00a0We hope you find something useful!<\/h3>\n<hr \/>\n<p>&nbsp;<\/p>\n<h4><strong>By managing your records well, you can benefit from easily accessible information, reliable records and a more organised working environment, as well as avoiding risks associated with information security and loss of important information. Following these straightforward tips should help you to practice more efficient records management in your work. <\/strong><\/h4>\n<ol>\n<li>\n<h4>When you are creating records, <strong>remember that that they may be viewed by others<\/strong>. Be aware of the implications of the Data Protection and Freedom of Information Acts.<\/h4>\n<\/li>\n<li>\n<h4>Use the <span style=\"color: #0000ff\"><a style=\"color: #0000ff\" href=\"http:\/\/sites.cardiff.ac.uk\/isf\/handling\/\">University\u2019s Information Classification and Handling Procedures<\/a><\/span> to <strong>assess sensitivity<\/strong> and<strong> determine how information should be handled and stored<\/strong>.<\/h4>\n<\/li>\n<li>\n<h4><strong>Arrange<\/strong> records in both paper and electronic filing systems in a sensible way so you, and others, can find them easily.<\/h4>\n<\/li>\n<li>\n<h4><strong><span style=\"color: #0000ff\"><a style=\"color: #0000ff\" href=\"https:\/\/intranet.cardiff.ac.uk\/intranet\/staff\/documents\/general-administration\/GuideNamingElectronicRecordsV3_0Final.pdf\">Name electronic documents<\/a><\/span> consistently and explicitly<\/strong> so they are easy to find.<\/h4>\n<\/li>\n<li>\n<h4><strong>Consider using <a href=\"https:\/\/intranet.cardiff.ac.uk\/staff\/services\/general-administration\/managing-records\/off-site-storage\"><span style=\"color: #0000ff\">off-site storage<\/span> <\/a>to free up office space<\/strong>.<\/h4>\n<\/li>\n<li>\n<h4><strong>Make time!<\/strong> \u2013 Set aside time each year to go through your records. This will help you stay aware of what records you hold, allow you to destroy ones you no longer need, and flag up areas where security needs improving.
